invites applications for
Accounting Associate IV
Position will process department invoices in Griz Mart, Banner and corresponding remittances. Prepare and enter journal vouchers to allocate payroll expenses appropriately. Make sure all payroll liabilities, including but not limited to, unions, child support/garnishments, campus deductions, and charitable contributions, are paid in a timely manner. Be able to prepare and pay federal and state tax deposits as necessary for each payroll cycle.
Position will report retirement/pension contributions and earnings for the University of Montana’s three (3) retirement entities. Will be required to make timely payments to avoid penalties. Will assist HRAs with checking memberships, setting up employees that have mandatory contributions, correct any retirement issue, and correctly report any payroll adjustments. Will also respond to any inquiries from state pensions regarding employment status, earnings, and contributions.
Ensures that the University of Montana is in compliance with all laws in regard to the employment of Non-resident Aliens. Ensure that such employees are being taxed appropriately and that we maintain required information for correct and most current employment authorizations. Must be able to work closely with departmental contacts to ensure compliance with these complex set of regulations.
Must develop and maintain comprehensive training materials for areas of responsibility to include testing and review of any new software, Banner HR and foreign national tax software, in addition to others.
Position will calculate employees' average hours for health insurance eligibility according to the ACA (Affordable Care Act) laws and Assist with the annual ACA review for employees eligible for health insurance at the beginning of the MUS Benefits Plan year.
Process E-verify and ensure accuracy of Form l-9. Provides training for E-verify to our office personnel and affiliate campuses. Provides instructions to department personnel and affiliate campuses in regard to the completion of the Form I-9 to ensure the University of Montana is compliant with Homeland Security.
Will need to fully understand all payroll deductions. Have full working knowledge of which deductions are mandatory and voluntary (optional), be able to implement any insurance/ retirement changes, and start or stop any voluntary deductions. Maintain exempt/waived deductions to verify employees are accurately set up in Banner and administer any garnishments or child support orders received and ensure collection and remittance are in compliance with State and Federal regulations.
Position will be responsible for any additional taxable fringe benefits such as; moving expenses, meal reimbursements, housing allowances and any other miscellaneous non-cash transactions. Review reports and verify accuracy of deduction, as well as set up and terminate the deduction in Banner for payroll. Communicate directly with employee’s regarding any questions or concerns about these deductions on their paychecks.
Will prepare the HRS deposit weekly, which will include retiree health insurance payments, wage overpayments, jury duty expense abatement and miscellaneous payments sent to HRS.
Position must understand the requirements for reviewing/approving Griz Mart Carts for Contract Services under $5000 to ensure compliance with the University of Montana's adherence to IRS Regulations for Independent Contractors.
Position will assist the Finance Manager with administering payroll audits, deduction and liability account reconciliations, and research projects as necessary to determine the best method for adhering to regulations.
Calculate, print and enter manual checks in Banner to correct payroll errors. Will also assist with overpayment re-calculations and help with repayment options.
Responsible for processing payroll transactions that affect the State Treasury such as EFT Rejects, Warrant Replacement Requests, Stale-Date Warrants, and Warrant Cancellations.
Required Skills
Advanced experience in the use of software programs, including Microsoft Office and Google, and database software programs, especially with creating spreadsheets and databases in order to utilize information for tracking and analysis with the ability to reconcile data in a variety of formats.
Must have demonstrate organizational, multi-tasking, time management, analytical, and problem-solving skills; and attention to detail in order to achieve the highest level of accuracy.
Demonstrated experience providing exceptional customer service; ability to explain complex regulations in a logical and clear manner.to business contacts to ensure compliance, enforcing relevant policies and procedures, and delivering negative information with diplomacy and tact.
Demonstrated ability to develop and maintain comprehensive training materials for areas of responsibility to include testing and review of any new software, Banner HR and International Tax Navigator.
Effective written and oral communication skills, including the ability to effectively write professional memos, letters, emails, documents, and reports; and communicate one-on-one or in groups regarding complex concepts.
Experience establishing and maintaining working relationships, and contributing positively as part of a team and providing support as necessary.
Ability to make sound judgments, have effective decision-making skills and experience maintaining strict confidentiality.
Minimum Required Experience
High School diploma or GED and three (3) years of proven basic bookkeeping and/or payroll experience or an equivalent combination of education and experience.
Preferred Qualifications
Associates degree in accounting.
