Greenberg Traurig, a global law firm, currently has an excellent full-time employment opportunity in the Human Resources Department of our Austin or Dallas offices. We offer competitive compensation and an excellent benefits package.
Position Summary:
Provides administrative support to the HR department, for the Austin, Dallas and Houston offices, under the guidance of the Talent Services Manager, assisting with daily human resource tasks including staff recruitment, orientation, employee benefits and other duties as assigned. Candidate should also be flexible to work overtime as needed. Additionally, occasional travel may be required between Austin, Dallas, and Houston offices.
Duties & Responsibilities:
Assists with staff recruitment: posts open positions on the intranet and job boards; enters and tracks job applicants using tracking software
Schedules interview appointments and interfaces with candidates
Emails standard communications to applicants regarding the status of their applications
Sends out new hire paperwork. Initiates and monitors background check process, and coordinates start date with new hire
Prepares welcome email, assists with onboarding process, and assists in planning and conducting new employee orientation
Assists with onboarding new employees and conducts new hire orientation
Assists with administration of employee benefits plans including healthcare, life, disability, 401(k) and other health and welfare benefits programs. Assists employees with annual open enrollment
Answers basic questions on HR policies, procedures, and programs
Maintains personnel files and I-9s. Responsible for E-verify
Assists with the maintenance of active and terminated employee records
Coordinates firm events such as staff appreciation, health and wellness clinics, annual holiday party, and other special events as requested. May assist with community fund raising
Assists with departing attorney processes
Coordinates secretarial vacation coverage and overflow
Assists with performance assessment process including sending out reminders and flagging comments for HR Manager review
Processes employment verifications
May coordinate information needed for disability claim forms
Processes transactions in HR system. Assists employees with the time and attendance system (Kronos), review time records as needed
Coordinates office attorney CLE training programs and processes attorney bar association memberships
Assists with other department activities as needed, and performs additional duties and responsibilities as assigned
Occasional travel in between TX offices, required
Skills & Competencies:
Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
Ability to establish and maintain effective working relationships with all levels of the organization and collaborate well in a team
High attention to detail, outstanding organizational skills and the ability to manage time effectively
Candidate must be a self-starter who can work independently with minimal supervision
Must possess a basic understanding of HR principles and practices, as well as employment law compliance
Position also requires the ability to work under pressure to meet strict deadlines, effectively prioritize multiple tasks
Recognize confidential, sensitive, and proprietary information and maintain such information as confidential
Provide outstanding client service, meet high quality standards for services and meet or exceed client expectations. Proactive in seeking innovative ways in which to help others
Qualifications & Prior Experience:
Bachelor's degree or equivalent experience in Human Resources, Business, Organization Development or related field
Minimum 2-5 years of experience in a Human Resources support role
Professional in Human Resources (PHR) certification preferred
Knowledge of HR-related programs/software including Kronos or other time and attendance systems, Jobvite or other applicant tracking system, and Ultipro or other HRIS database systems.
Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
Exceptional computer skills with the ability to learn new software applications quickly
