This position will report to and support the vice presidents of Major Markets and Intercon Human Resources. We are looking for a dynamic, performance driven, well organized and flexible individual who thrives in a fast-paced environment. Given the sensitive nature of the job scope, extreme confidentiality, discretion, and attention to detail by the incumbent is required.

Perform highly diverse and complex administrative functions, including but not limited to proactive calendar management, domestic and international travel arrangements, preparing expense reports.

Responsible for the organization and planning of complex remote meetings across multiple time zones. Demonstrates flexibility in personal work schedule to participate in team meetings which, because of team membership across multiple time zones, are sometimes scheduled outside of normal EST work hours.

Plans and organizes off site in person meetings for globally based teams in domestic and international locations.

Anticipates needs of manager and/or team, and take appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet all deadlines.

Interface in a professional manner with senior executives and matrix team members, handle confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.

Anticipate key issues and implement action plans based on changing priorities and commitments.

Exhibit a positive work attitude, high productivity and a collaborative approach with other employees across an international environment.

Prioritizes activities and takes action based on an understanding of department objectives, customer needs, and BMS business strategy.

Organizes and continuously modifies multiple processes, programs and procedures in response to a changing environment. Anticipates and creates contingency plans to deal with possible problems and roadblocks.

Requirements:

Successful candidate must possess at least 10 years of administrative experience, with significant experience supporting an executive. Experience working with dynamic, international teams and/or Human Resources processes is highly desirable.

Candidate must have a High School diploma, Bachelor’s Degree preferred.

Candidates must possess strong interpersonal skills in dealing with all levels of management internally and externally.

Strong communication skills including excellent verbal and written skills.

Proven ability to handle sensitive information with confidentiality, discretion and good judgment.

Must possess the ability to take initiative and adapt to frequently changing priorities.

Ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment; and provide high quality work with attention to detail.

Proactive, solution-oriented approach to collaboration with strong decision-making capability in order to guide assigned projects to successful conclusions.

In depth knowledge of company internal systems, policies and procedures.

Candidate must be proficient in Microsoft Office, Outlook, Concur, Purchasing systems, SharePoint and WorkDay.
