Job Summary

The Human Resources Technology & Service Solutions organization is looking for a Senior Specialist to support multiple project workstreams that span a variety of high priority areas. Looking for an experienced project administrator who has demonstrated success in a fast-paced environment, and preferably has some knowledge of HR technology & processes, with strong communication and stakeholder management skills. Responsible for supporting the interaction with business leaders at the Director/VP level in the Divisions & Business Units. Will support planning, executing, and evaluating general to complex, large-scale projects. Works collaboratively with project teams ensuring quality control throughout the project life cycle. Ensures timely completion of administrative details with the ability to coordinate diverse tasks requiring exceptional organizational skills. Tracks all project deliverables within the intended scope of work, budget, and schedule requirements. Supports collaborative engagement with internal and external counterparts to ensure that all appropriate aspects of the project are compliant with enterprise policies, protocols, and procedures. Helps to creates and maintains documentation to ensure adherence to process sustainment and project workflow as well as establishes a departmental repository for historical purposes. Tracks and coordinates personnel required to successfully complete assignments.

Job Description

Core Responsibilities

Provides support on methods, tools and procedures and serves as subject matter expert on projects and to peers such as capacity management and POR.

Participates in or leads, portions of multiple projects at one time, such as, providing analysis, reporting, project communications, or training for a project.

Provides tool expertise on SmartSheets, SharePoint and other tools required to support processes and procedures related HRTSS.

Develops, maintains, and communicates metrics on an ongoing basis for one or more teams; develops project status communication presentations, as needed.

Supports team organization structure and strategy. supports group capacity administration and forecasting as well as user experience with associated tools.

Provides operational support for project completion; assists with planning in consultation with appropriate participants and coordinates steps to ensure participation of appropriate interested individuals and groups.

Supports cooperation and input in project assignments; coordinates needed meetings or hearings to gather input and meet procedural requirements.

Supports activities required to perform research, design, and the development of BU, Division, and/or Regional level projects that deliver cost-effective services to support the org's business objectives

Serves as subject matter expert and point of contact for HR Systems and Technology related inquiries and requests from department heads and other business stakeholders.

Leads the rollout, training and communication for annual systems processes such as performance management, merit and bonus payment and learning management systems applications.

Provides user feedback to management to influence future systems enhancements.

Monitors and evaluates new enhancement packages, competitive applications and products and makes recommendation features.

Works with Quality Assurance team to ensure all necessary testing is accounted and documented.

Provides feedback regarding best possible user experience for application users.

Utilizes in-depth knowledge of process design and redesign skills to present and defend functional and technical solutions.

Utilizes knowledge of project management to keep functional efforts on schedule and within budget parameters.

Provides weekly, monthly and annual reports. Provides special reports and analyses to support the business as necessary.

Supports efforts to maintain accurate master data. Extracts data and provides analysis of master and transactional data.

Oversees the correction of master data with appropriate field HR personnel and Employee Service Center personnel.

Consistent exercise of independent judgment and discretion in matters of significance.

Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.

Other duties and responsibilities as assigned.

Qualifications:

Generally requires 5-7 years of Business Process Improvement or Project Management experience with complexity and high visibility.

Bachelor's Degree.

Experience or interest in Human Resources Operations Technology & Services.

Prior experience in running large-scale projects and leading cross-functional teams.

Proven experience with influencing non-direct reports to drive initiatives.

Strong consulting skills with the ability to uncover business problems

Demonstrated ability to communicate to all levels or employees, including Director/VP level stakeholders in the Business Units & Divisions. Exhibit sophistication and savvy to partner and advise senior leadership. Demonstrated relationship management/partnership skills.

Proficient in MS Outlook, PowerPoint, Excel and Word. Will be creating presentations that will be shared with senior leaders.

Strong storytelling and presentation skills.

Demonstrated ability to drive results (reliable, proactive, able to work effectively in a complex, fast-paced environment).

Project management certification is a plus, but not required.

Organized, responsive and able to prioritize and manage multiple projects
