Overview of Executive Associate Role:

This role is a key member of the LW&E leadership team and is accountable for the coordination and management of our annual book of work, managing the LW&E budget, and ensuring the engagement of key internal and external partners.

This position requires mastery of the executive associate function, including projection of a strong presence internally and externally with a high level of professionalism.

Candidate will perform highly diverse administrative duties, which involve senior level contacts and exposure to sensitive information requiring confidentiality, discretion, and good judgment, as well as the highest level of core behaviors.

Responsibilities:

Provide administrative support to the Executive Director, LW&E and the Senior Director, Growth and Development; inclusive of calendar management and processing of travel and expenses

Develop and effectively execute the annual LW&E plan including the design of LW&E LT meetings, quarterly whole team sessions and engagement of the LT&E team with key markets. The plan includes key external experiences to enable thought leadership.

Partner in building and effectively managing the LW&E budget & Book of Work

Provide logistical, project management and administrative support to large meetings and projects as needed

Prioritize activities and takes action based on an understanding of departmental objectives, customer needs, and BMS business strategy

Use time management techniques, including the latest technologies, to effectively manage own priorities and assist senior leaders in managing their activities.

Regularly collaborate with peer executive associates.

Keep teams informed of work productivity tools to assist in an efficient working environment.

Qualifications /Degree Requirements

Successful candidate must possess a High School diploma. Bachelor’s degree is preferred.

10 years Project Coordinator experience in Human Resources preferred.

Ability to think strategically AND translate strategy into action

Strong program and project management

Strong learning agility and ability to influence senior leaders

Creative thinking balanced with a pragmatic approach

Exhibit a positive work approach, with high productivity and a collaborative spirit.

Strong written and verbal skills and the capability to work well with a diverse population.

Strong organizational skills, the ability to multi-task, attention to detail and excellent follow up skills are required for this position

Proven skills in balancing competing demands and requests by taking initiative to adjust or change priorities

Ability to work independently with minimal supervision, using discretion and judgment to know when to escalate concerns or issues, with sensitivity to handling confidential information

Ability to analyze and solve complex problems with good judgement, often using creative solutions

The candidate must be proficient in Microsoft applications – Word, Excel, PowerPoint, Outlook, Org Plus, SAP and Workday

Strong external mindset with demonstrated ability to translate best practices and leading edge thinking to practical, impactful and business relevant solutions

Strong business acumen and knowledge of our business strategy

Problem solving and consultation skills

Demonstrated innovation and future-thinking ability

Change agent with high learning agility

Success in working effectively at senior management levels to impact and influence decision making

Strong experience in leading effectively within a matrixed environment and building alignment in a cross functional and team environment

Excellent relationship management and interpersonal skills

Excellent oral and written communication skills, including the ability to organize and present information in a clear and concise way to a variety of audiences
