Job Description:
PURPOSE
HR Process and Systems Specialist role is to improve employee experience throughout supporting most complex HR queries, providing process & system expertise to the team across HR model and assuring data consistency across HR systems.
Day to day activities involve resolving end-to-end HR queries, providing periodic and ad-hoc HR reports, supporting the team with process and system expertise, handling system integration & reconciliation errors, governance on the quality of process documentation and knowledge management (capability building, project & systems implementations/changes support).
The role also supports various Policy activities and assure accurate processing performed by HR Operations teams by compiling, formatting, auditing and analysis of data on a recurring basis as obtained from Shell People and HR Operations staff and communicate findings to US Policy and applicable stakeholders. Ensure and validate data accuracy - as many dates and reports provide significant levels of risk and/or compliance with financial and legislative requirements.
ACCOUNTABILITIES
Provide coordination and administrative support to PB&S and US Operations - Team Lead Assure proper HR processes execution, understanding and interpretation of global local processes and policies across the designated cluster team through:
Resolution of end-to-end complex and sensitive cases, analysis and take ownership for their further investigation, resolution and communication to the employee.
Provide expertise on global and local HR processes (in defined scope) to the business and teams across the HR Model including escalations, policy/process interpretation and decision making (in alignment with country specific roles & responsibilities).
Provide periodic and ad-hoc HR reporting and analysis to the business and HR partners
Ensure data entry consistency and quality of data input incl. execution of data reconciliation & error handling processes.
Support team members in resolving complex system issues.
Management of cases according to the established ways of working which includes:
Use of case management tool to log queries, updates and closure of tickets with appropriate resolution.
WIPS management by keeping the customers updated on the status of open cases
Take ownership of end-to-end processes
Meet established KPI and SLA
Support the execution of business change initiatives, including global and country-specific reorganizations, mass moves, process and policy changes. Perform the analysis of data to identify HR systems quality gaps, work closely with Business Partners and Data Quality Team in performing root causes and resolution. Manage knowledge documentation with focus on maintaining local process and system documentation, Salesforce knowledge and cascading communications. Compliance to established processes and job aids, creating interventions (redesign or retrain) as needed to address. This includes performing recurring and periodic audit processes and documentations. Proactively identify opportunity areas for process simplifications and improvements through:
Expand own knowledge in Cl tools and methodologies, lead or participate in Cl projects, share Cl knowledge with HR Advisor colleagues, spot and eliminate wastes/inefficiencies.
Support global and local Cl initiatives
Act as an expert and change and engage ambassador for process and system design, system implementations, and testing. Initiate and support capability building through training, process and system coaching and upskilling. Promote business intimacy with HR Operations, US Policy and Benefits and other key stakeholder through regular engagements, proactive communication, collaboration and full transparency of team's service quality and overall performance based on metrics.

JOB KNOWLEDGE, SKILLS AND REQUIREMENTS
Strong knowledge of HR Systems - Shell People, Workday and Salesforce
Ability to assess and deliver complex, and potentially ambiguous, requests in a fast-paced environment where deadlines are critical
Effectively manage multiple priorities, such as simultaneous operational issues and projects
Strong focus on collaborative working with members of a variety of teams locally and globally
Enable and promote a deeper business understanding to staff, share best practice between team members striving for continuous improvement of service delivery and to increase efficiency of services
A demonstrated ability to work independently while under pressure to deliver in mandatory timeliness is critical to this role. A strong team ethic is required as well as botch excellent written and verbal communications skills.
