POSITION SUMMARY: 

The Specialist, HR + System is a key member of the HR team and responsible for the integrity of associate records in our HR System (Workday). The Specialist, HR + System supports associate status changes for our retail, corporate and distribution divisions by participating and ensuring Workday accurately reflects associate files through hiring, onboarding, transfers, promotions, separation and more. The incumbent supports HR questions from managers and associates, thus a key understanding of HR policies and procedures is an integral part of the role. They also work very closely with the US HRIS Support team with troubleshooting, testing, and resolving Workday issues as well as participates in implementation, configuration and user adoption of new system modules and/or updates. They are responsible for ensuring data integrity, capturing HR processes and procedures; developing quick reference guides, training materials to optimize user adoption and a best-in-class user experience.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB: 

  • Maintains employee files through the associate life cycle from attraction to separation entering new hires, promotions, transfers, and various other status changes.
  • Liaisons with payroll department for any discrepancies as needed.
  • Partners with HR, Payroll and HRIS Support team to resolve, test, and improve Workday inquiries, issues, and ongoing development.
  • Works closely with HR and HRIS to support and improve system optimization, efficiency and work automation efforts (e.g. Recruitment, Offer Letters, Onboarding, Confirmation of Employment, LOA, H&S, Training, Visa/Work Permits, etc…), HR policies and business processes.
  • Supports HRIS team when evaluating, reviewing, testing, and implementing new modules and existing functionality and changes.
  • Captures and maintains detailed HR and HRIS documentation of processes, procedures, and methods to ensure proper business continuity. Including reference and training materials.
  • Produces and automates various auditing reports according to business needs.
  • Maintains appropriate roles and responsibilities in systems for all stakeholders (e.g. job profiles, Job codes, location, org hierarchy, access security).
  • Trains new system users, when required.
  • Supports special projects as needed.

QUALIFICATIONS & EXPERIENCE:

Experience:

  • 3 years in HRIS, combined with HR experience
  • Experience with Workday is an asset

Education: 

  • College Degree or equivalent is required
  • Bachelor degree in Human Resources Management, Statistics, Commerce, Business Administration or another field.

Skills:

  • Bilingual French and English, written and spoken
  • Solid proficiency in HR data management and integrity – Workday, an asset
  • Demonstrates attention to detail and strong customer service in a fast-paced environment
  • Ability to identify and flag issues, manage projects and follow up with stakeholders
  • Strong judgment and discretion with highly confidential and sensitive information
  • Build strong and trusting relationships with internal and external stakeholders
  • Able to write and document procedures
  • Proficient user of Microsoft Office suite
  • Knowledge of time + attendance system, an asset
