Job Summary
The HR Coordinator supports and facilitates IBKR’s HR processes and completes administrative tasks as assigned for all businesses and locations. They onboard new hires and complete HR tasks and projects with precision and efficiency. The ideal candidate will have a positive, can-do attitude with a desire to broaden their HR knowledge and skillset.
The HR Coordinator will accurately answer HR-related employee questions and inquiries. They will input employee data and verify entries against current systems and other forms of record. The HR Coordinator generates and executes basic reports or queries and provides summaries of data for use in analysis or decision making; validates output against systems. Follows established procedures for updating, validating, and correcting employee records or other related HR data. Assists in the preparation of end-user documentation or training materials as needed.
Essential Duties and Responsibilities
Primarily responsible for maintaining employee records and HR personnel-related data in our database
Ensures timely data entry of all employment requirements are met, specifically but not limited to I9 records, E-Verify, background checks, employee documents, and checklists for retention period and perform audit to ensure compliance
Performs entry level administration and tasks to support all HR shared service functions
Participates in pre- and post-implementation activities, including service testing and user acceptance testing
Assist with all internal and external HR related inquiries or requests.
Maintain both hard and digital copies of employees' records.
Mail sorting and routing
Work with purchasing department to order and stock office supplies and branded materials
Assist with HR special projects, training, payroll, and ad-hoc HR projects.
Performs other duties as assigned
Keep up to date with the latest HR trends and best practices.
Qualifications
-2 years’ experience in an HRIS support, HR Coordinator or Administration role(s)
Experience with ADP and/or ServiceNow a plus
Exhibits abilities to be customer-focused, detail oriented, efficient, polite, reliable, knowledgeable, empathetic, and adaptable
Ability to prioritize and reassess needs in a fast-paced environment
Communicate effectively in both oral and written form; follows detailed directions
Be punctual and on-time based on department hours of operation
Requirements
Bachelor’s degree required.
Basic knowledge of MS Office applications: Outlook, Word, Excel, and PowerPoint.
