Finance and Data Operations Expenditures contributes to this purpose delivering 5 major processes that includes Accounts Payable, Global Payments, Payroll Accounting, Travel and Expenses, and Pensions Finance and Administration. In the future, one more process will be migrated into Expenditure. This organization is led by the Vice-President Finance Process Expenditure.

Further to leading the Expenditure organization, the VP Finance Process Expenditure is also the Centre Finance Lead for FO Manila and the Country Finance Functional Lead for Shell Companies in the Philippines maintaining oversight and ensuring an engaged Finance and Professional community of around 2300 professionals in the country.

What is the role?

The Executive Assistant will be working closely with the Vice-President Finance Process – Expenditure to manage efficiency of time, effective communication and increase productivity. On a wider basis, your role will be the point of contact between executives/senior leaders and internal colleagues globally and within the country and external stakeholders.

More specifically, your role will include:


Managing the flow of information
Handling queries and requests appropriately
Maintaining the calendar and optimizing the schedule
Organizing internal and external meetings and appointments including arrangements, preparations and reminders
Making travel arrangements and travel itineraries
Preparing expense claims
Planning, organizing and leading events/initiatives
Support arrangements for VIP guests to SBO Manila including information pack and agenda
Producing reports, presentations and briefs and taking minutes as required
Records management
Basic budget/financial management
Managing office supplies inventory and corporate giveaways
Actively participating in the Employee Engagement, Communications and CARE Workstreams
Finance Lead for SBO Manila One Excellence Awards and Shell Companies in the Philippines Crystal Awards
Focal point and coach on MS Teams and Sharepoint
Provide general administrative support


Your role will include being part of the FOLT EAs Network and the CCT EAs Network.

Exemplary planning, organisational and time management skills
Ability to multi-task and prioritize daily workload
High level verbal and written communication and interpersonal skills
Ability to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with decision-making skills
Experience in successfully influencing/positively collaborating with others
Learner Mindset
General knowledge of MS Office applications and Sharepoint management and updated on collaboration tools and communication platforms including MS Teams and Yammer
Relevant administrative support experience an advantage
