Job Description:

Purpose

The purpose of this position is to lead and supervise the Recruitment Operations Assessment Management team who are undertaking activities related to end to end recruitment process steps from coordination of all recruitment events (campus events for Graduate recruiting, interviews, assessment coordination, final assessments, scholarships, etc.) as well as activities such as rehire checks, Employee Referral Programme and candidate expense reimbursements

Principal Accountabilities:


Lead day to day operations to ensure productivity and address operational needs of the team
Provide direct supervision and coaching to address operational and professional development needs
Promote team engagement to encourage collaboration and positive work environment
Regularly assess capacity and capability of the team through resource planning, forecasting, workload management and upskilling as appropriate given the volatile nature of Recruitment.
Ensure effective ways of working and adherence to policies, processes and controls to mitigate organizational risks i.e. Shell’s reputation, data privacy breaches and CLIs.
Drive operational excellence through regular monitoring and analysis of key performance indicators (KPIs) through active use of visual management and agilely implement best practices or actions to address issues to continuously improve KPIs
Contribute to the organization’s strategies through active participation in projects and specifically focus on candidate/hiring manager experience and cost-efficiencies.
Effectively handle complaint and escalated cases to provide or follow up on resolution and share learning broadly
Drive the CI agenda to improve processes, operational performance and customer experience focusing on more business impact, less cost and better customer experience

Acts as regional liaison for Recruitment Scheduling and Assessment operations and partners with Recruitment Marketing, Finance and Integrated Resourcing leadership team as needed.
Champion change through effective and timely communication in a fast-paced organization.


Dimensions:


This role reports to the Resourcing Operations Manager – Assessment Management and sits within the UP/IG/Technical Integrated Resourcing Leadership Team
Scope: Global UP/PT/Technical
Team Size: circa 10-12 employees based in SBO Manila
End-users: Key client types are Candidates, Employees, Recruiters, Recruitment Managers, Business Assessors, Campus Ambassadors, Hiring Managers, Marketing Managers, HR Operations Managers and HR Professionals. The role also requires engaging with third party vendors (e.g. Carlson Wagonlit Travel, Finance, Marketing Agencies, Assessment Solutions).
Targets – circa 4,500 hires excluding SBO


Skills and Requirements:


Ability to build, motivate and manage a strong performing operation with a sustained high level of employee engagement
Proven influencing, stakeholder engagement, with experience of dealing with diverse backgrounds and culture
Strong analytical skills, and use of analytics to bring insights and drive operational excellence with strong attention to details and problem-solving skills
Customer focus to deliver excellent candidate and assessor experience
Ability to work under pressure and tight constraints
Experience in Project Management and Project Delivery
Excellent in English communication skills (good command, both written & oral)


Key Challenges:


Volatile experience hire targets
Need to prioritize across varied and dynamic workload with respect to seasonality and deadlines
Standardizing the process whilst taking to account local legal requirement, country/business set up and limitations
Ability to influence assessor participation and drive partnership across HR Function and business.
Changing systems landscape with Kenexa phased out by Q1 2020 and replaced by Workday wherein new scheduling tool will also need to be identified and tested in parallel.
Leading through multiple changes and associated projects over the course of the next 2-3 years
Driving digitalization initiatives in Recruitment Operations e.g. Workday implementation, automated interview scheduling, chatbots to answer FAQ.
