What You Will Do:
General Summary
Working primarily independent, with supervision related to complex task, the Payroll Lead will work closely with the payroll team members in overseeing, reviewing, and coordinating daily work activities. Ensures accurate and timely payroll processing, and is a resource to payroll staff regarding payroll processes and problem resolution.
Principal Responsibilities and Tasks
The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.
1. Provides leadership and guidance to the Payroll staff to ensure maximum productivity and effectiveness in accordance with departmental standards and procedures.
A. Contributes to performance evaluations, interviewing, and enforcing departmental rules and regulations in collaboration with Payroll Manager. Conducts new employee orientation and training as needed.
B. Develops employee work schedules to maintain adequate staffing levels. Insures all areas are properly staffed during team member's absences and coordinates their job responsibilities. Audits the work of the Payroll staff ensuring that all work is completed accurately and timely. Offers guidance and direction in assisting Payroll staff with difficult payroll issues. May assist in the development of new assignments that will bring efficiency to current job responsibilities.
C. Assists in training, coordinating and facilitating the work of payroll team members with less experience or understanding in specific areas. Spends majority of the working time preforming the same work processes and activates as payroll team members.
2. Processes, calculates and verifies time records for UMMS employees regarding payment and leave balances in accordance with UMMS/departmental policies and procedures in both the payroll and time and attendance application.
A. Reviews and corrects time records for coding accuracy before processing. Works with timekeepers and managers regarding changes needed to the Payroll Adjustment forms.
B. Follows-up to assure that appropriate forms and statements for changes in payroll and/or leave are completed. Verifies that payroll has the proper signatures on forms in preparation for audits.
C. Reviews and processes more complicated time records, involving more complex calculations and special considerations.
3. Troubleshoots complex matters involving the time and attendance and payroll applications. Assist team in the creation of queries and correcting any issues surrounding the Transaction Assistant. Reaches out to other departments as needed for assistance with resolving payroll concerns. Processes payroll for the UMMS facilities, operating within the deadlines established within the payroll department to ensure employees are paid timely. Validate all payroll processing jobs are ran correctly, reviewing payroll reports for accuracy, making any adjustments and/or corrections timely. Confirm the accuracy of dates entered in the system coincide with the dates on the payroll calendar. Validating totals are accurately reflected on reports prior to closing payroll.
4. Works directly with payroll team members in understanding complex pay and leave questions provided from HR Connections Case Management. .
A. Investigates employee/supervisor questions regarding such issues with Total Rewards, leave time accruals, shift differentials, and any other concerns impacting employees pay. , Responds to subpoena provided to payroll from Human Resources and/or legal ensuring that all applicable documentation is included with the request. Follows up with Human Resources or Legal with any questions or confirmation of receipt.
5. Assist with Projects and Testing as needed and develops, reports and documentation surrounding the testing and its results.
What You Need to Be Successful:
Education and Experience
1. High School Diploma or equivalent (GED) is required.
2. Six years of payroll processing experience for a large multi-state organization. A degree of payroll certification from the America Payroll Association may substitute for 1 year of experience.
3. Lead worker/supervisory experience preferred.
Knowledge, Skills and Abilities
1. Demonstrated knowledge and understanding of payroll and payroll tax laws (compliance and regulations)
1. Complete, perform and understand complex mathematical calculations.
2. Proficiency with MS Office software, such as Microsoft Word and Excel for developing payroll related reports as needed
3. Ability to oversee and monitor daily work activities, evaluate, train and motivate the performance of payroll staff.
4. Strong interpersonal and customer service skills. Ability to diffuse an escalated issue. Proficient problem solving skills needed to handle and resolve payroll related discrepancies.
5. Highly effective verbal and written communication and listening skills are required to interact with various individuals seeking pay related information.
6. Display strong verbal and written communication. Primarily communicates information that requires explanation or interpretation. Provides the necessary details and references to ensure clear understanding of the concerns being addressed.
